OVERVIEW

A SaaS-based Immigration & HR Compliance Software which 
assimilates intelligence from multiple US Government regulatory sources to provide authentic guidance on Immigration and HR Compliance

BACKGROUND

I was half the design at OnBlick when I joined them back in 2016. I wore many hats during my tenure at OnBlick from Product Manager, UX Lead to Sales Associate and Customer Support Representative. What started in a whiteboard is now a thriving startup with 300+ active customers. I grew tremendously during my time at OnBlick and these were my high level duties.

  • ​Defined and developed two new revenue streams for the organization.

  • Created and Maintained product roadmap. Synced with leadership regularly to keep them appraised of the development processDefined and maintained Epics, Features and User stories in ADO

  • Led the Special Task Group for OnBlick and reduced the inflow of customer reported issues by ~75% within 4 months.

  • Designed process for the customer support team.

  • Planned and executed multiple integrations with Third Party applications like ADP, QuickBooks etc.

  • Conducted multiple webinars and helped onboard new customers.

  • Initiated kick-off meeting with stakeholders and gathered business requirements. Setup the design strategy and defined Critical Success Factor.

  • Defined task flows and information architecture. Created wireframes and concept sketches using Omnigraffle

  • Defined style guide for the product using Sketch and guided UI designers to develop pixel perfect designs based on the style guide.

  • Developed a reusable design and marketing style guide for OnBlick using Sketch

  • Recruited and managed the UX Team and advocated for user-centered design solutions that meet measurable business goals 

The Beginning...

During my initial couple of weeks at OnBlick, I had multiple white boarding sessions where the founders explained their idea, vision and their design concepts for the product. They had a product designed and working in their minds and excepted the UI to be ready in 1 month. We had solutions but the problem was not identified clearly.

Establishing design process

After introduction to the domain(recruiting) and white boarding sessions, I worked with the stakeholders to establish the importance of research and setting up a process. After a volley of sessions we agreed on doing user interview sessions and competitor analysis before starting any conceptual design work.  

Understanding pain points

With information about the product and domain from stakeholders, we generated users profiles (job seekers, recruiters, client account managers and business owners) and conducted user interview sessions. The goal of these interviews was to understand the day on the life of the users and problems they currently face with the solutions available in the markets. This exercise helped understand the key pain points of users and I have listed a few below

 

Job Seekers: 

  • While applying for job they have fill the same information over and over again

  • There is no way to track the status of their applications

Recruiters:

  • Difficult to find the right candidate for the right role

  • Using manual search and Ctrl+F to find skills in a candidates resume. Most recruiters don't have the technical knowledge to identify the right candidates

  • Manually post the same job in multiple job portals

Account Managers:

  • Manually keeping track for open roles, submissions and new requests from clients

  • No way to track a recruiters performs other than tracking number of submissions for a role

Business Owners:

  • Manually track teams(recruiters and account managers) performance

  • No central point of tracking expenses on job portal accounts for the team

  • Manually tracking revenue, number of active consultants and their employment status

User Flows and Wireframing

Based on the above problems identified, we worked towards addressing these pains by coming up with potential solutions:

  • Simplified resume submissions through job portal integrations and browser extensions

  • Resume parsing and job compatibility check

  • Application Tracking

  • Recruiter and Account manager performance tracking through VOIP integrations, number of shortlisted profiles, number of hires and submission to hire ratio

  • Expense and revenue tracking

Apart from the above solutions we had to design other generic features which are required for the product to function cohesively

We quickly mocked up some basic user flows and wireframes to gather feedback from  Engineering and the users on the overall layout and structure of the application. We are also working of UI Style guides in parallel.

Concept Validation and Pivoting

We validated the concepts with different user categories and after couple of iterations of design, research and testing, development began and the product was launched in April 2017. There was an overall positive feedback from users and we had 50+ active subscriptions by the end of the year. But we found it hard to push beyond that threshold, most business users found it to be tedious process to move their existing workflow and train their employees and transition them to OnBlick. Even though we addressed many pressing issues for the users, onboarding new customers became challenging. 

We went back to the drawing board and conducted more user study to find out that what the product was lacking. From the study we understood that while we solved lot of pain points for the user they were not highly motivated to move to OnBlick because it lacked an important aspect which none of the products in the market had - Immigration Compliance. The product then worked with immigration attorneys and retired US government officials to get a concrete understanding of the Immigration Compliance space. This led us to whole new segment we could help businesses with recruitment while maintaining regulatory compliance. 

The leadership team and stakeholders decided to pivot to HR and Immigration compliance space. After a year of research, design testing and development, OnBlick HRMS was launched. 

OnBlick HRMS

Apart from the existing four modules(Job Seeker, Recruiter, Account Manager, Admin), we built two more modules - HR Manager and ESS(Employee Self Service Portal). As of 2021 OnBlick 350+ customers with around 175K active users.
